When sending (or delivering to our office in person) photos, documents, artwork or fabric to be scanned, please package them in a flat arrangement, not rolled up or folded. Please ensure that each item is first placed in an A4 protective plastic sleeve or similar protective material.

If you are mailing an item to us, you should also place it within a clean, folded-over piece of cardboard, to reduce the possibility of bending. Ensure that you clearly mark the package with "fragile" and "do not bend".

Before sending any items, please print and fill out the Scanning Service Submission Form below. Note that each individual item that you send to us must be accompanied by one of these forms:

The item to be scanned must be in reasonable physical condition. Items with signs of flaking or those containing moisture, grease, dirt or high levels of dust cannot be scanned.

Artwork or fabric must be smooth and consistent in surface feel, not "rough" like an oil painting's texture. Best results are obtained with flat, smooth items that were produced with some sort of printing device, or with developed photos (positives). Smooth fabric also produces good results.

When sending items by mail or courier, please ensure that you use a service that requires proof of receipt, such as the Registered Post service.

We take the utmost care when handling your photos, documents, artwork, or fabric, ensuring that items are only ever handled with the use of archival gloves. However, we cannot guarantee that your item will be returned to you in exactly the same condition that it was in prior to it being sent or delivered to us. Therefore, If your item is valuable or important to you, we strongly recommend that you insure your item so that it is fully covered whilst it is in transit and whilst it is in our possession. If necessary, please seek advice from the appropriate insurer or broker prior to sending or delivering the item to us.

When returning a scanned item to our clients, we place it in either an acid-free protective sleeve or acid-free tissue. We then enclose the sleeve within thick board, to reduce the possibility of bending. We always mark the package with "fragile" and "do not bend".

We use either the Australia Post Registered Post service or a courier service. Unless alternative arrangements are made with us, a maximum of $100 shipping insurance applies whilst the item is being returned to you.
